Keep room prices separate from person prices
When two people share one room, begin with the number of rooms and nights, then examine how the booking handles breakfast, extra bedding and children. Admission and seats may be priced per person, whereas a private vehicle or yacht may quote for the whole unit. Write that unit beside every line before comparing numbers. Record whether transport is one-way or return and whether mandatory charges and taxes are included. This prevents a superficially cheap figure from winning a comparison between different products. Treat a displayed converted currency as a reference and check the currency and amount actually requested at payment.
A worked example with deliberately invented inputs
Every input here is invented for explanation. Assume two people for seven days, sharing one room for six nights: 1,800 THB per room-night, 500 THB per person-day for food, 2,400 THB shared transport and 1,500 THB activities per person. The subtotal is 23,200 THB; adding an illustrative 10% reserve of 2,320 THB gives 25,520 THB. International and domestic flights, visas, insurance and shopping are excluded. Ten percent is not a universal correct reserve. Replace each row with an actual quote and add missing items before calling the result your trip budget.

Use checked prices as anchors, not a whole budget
The inspected Grand Palace page lists 500 THB for foreign admission. That is an anchor for that admission, not the cost of an entire Bangkok sightseeing day. Add hotel-to-entrance transport and lunch, but do not add the ticket again when your tour includes it. For transport, look beyond the headline fare: RRC’s published conditions distinguish luggage allowances and additional baggage charges. Apply those terms to your actual bags and route. Figures checked on different dates do not become a single freshly confirmed total just because they are placed in the same spreadsheet. Keep each source and date beside its amount.
Cut duplication before cutting the point of the trip
Remove unwanted extras and repeated transfers first. Fewer hotel changes can reduce both vehicle costs and time spent checking in. Compare shared and private tours by inclusions and the total for your party, not by a per-person figure on one side and a whole-vehicle figure on the other. If a cheaper booking is non-refundable, record what a schedule change could cost. Finally, separate amounts already paid from amounts due locally, reducing the risk of budgeting twice or missing a required payment. A smaller total is useful only if the experiences that mattered most still remain in the itinerary.
